Use of T-Card for Airfare and Hotel
- Airfare: The T-Card may not be used to book airfare when travel dates occur outside the travel window.
- Hotel: The T-Card may only be used to book hotel days within the travel window. The traveler must make a separate reservation with a personal card for the days outside the travel window.
A Comparison Flight Must be Documented
- The traveler will be reimbursed for the most advantageous flight (comparison vs. actual).
- Comparison flights should be obtained at the time the traveler books their flight (i.e., before travel).
Obtaining a Comparison Flight
- Comparison flights should depart/return on the dates of the allowable travel window. (e.g., if the travel window is 1/1 – 1/3, the comparison flight should be for 1/1 – 1/3).
- IF a comparison flight was not obtained before travel, a comparison must be obtained for two weeks in advance (in other words, two weeks from the day the comparison flight is obtained).
When doing so, please use the same days as the travel window (e.g., if the travel window is Monday-Wednesday, use the Monday – Wednesday two weeks in advance). - See Help Page – How to Get a Comparison Flight for detailed instructions.
Reimbursement
- Traveler will only be reimbursed for expenses incurred within the travel window.
- Even expenses that are normally reimbursed are not reimbursable outside the travel window (e.g., a taxi ride to the airport occurring outside the travel window).
